Alan Cash Video in collaboration with Audio Visual Consultants (https://avconsultants.com) were delighted when nonprofit Next City engaged us to live stream their Spaces and Places event at Oakland’s popular coworking space, Impact Hub. The video was streamed in real time via GotoWebinar for online registrants. Alan Cash at the helm A live streaming event includes meticulous preparation and backup systems A live streaming event requires a significant amount of preparation. I am obsessive about details. Everything has to work seamlessly. Because everything is live, there is very little margin for error. Our online audience is relying on a professional broadcast at a specific time; they expect everything to work smoothly, yet we’re relying on house internet access, which can be disrupted. Connections can go down, computers can fail. We always have backups of the main components to ensure a successful shoot. Prior to any live streaming event, I solicit client requirements with a live stream event brief . Once we have confirmed details and signed a contract, I conduct a thorough site survey to test all facility connections, camera placement, lights and audio options. Showcasing presenters, panel and audience for the Next City shoot: To create visual variety, we had four different camera angles to showcase the presenters, the panel and the audience. My colleague and partner, videographer Stu Sweetow, and our two assistants operated the cameras. The feed was live-switched to include PowerPoint slides. Sarah who assisted us with the live stream We can add titles and graphics to the screen. These can also be synched to appear as speakers present themselves live. Both of these options need to be set up in advance. Technical details of the Next City shoot For this four-camera, live-stream shoot that included PowerPoint presentation slides, all four cameras were the same Sony model (FS5mkii), color-matched to ensure consistency across multiple cameras. Prior to the shoot, we tested the internet connection. It is essential to have a fast wifi upload speed, ideally a dedicated, ethernet 60mbps + connection. We filmed at 1080p, which provides a good streaming resolution and a satisfying viewer experience. We used high-quality audio which was keyed in from the audiovisual sound desk. Great audio is an essential requirement for online viewing. We used a camera intercom for our camera team, allowing us to communicate during the shoot. Why we’re doing more live streaming video for our clients Consider this: “Viewers will watch a live video approximately three times longer than a pre-recorded one.” Social Media Today A big advantage of live streaming video is that it can reach those who may not be able to attend the live event. The Next City shoot is a good example. Their audience is local and national, but the Impact Hub capacity is limited. A nearly unlimited number of viewers can access the video in real time via GotoWebinar. The benefits of live streaming video: Companies recognize the economic value of live streaming video by reducing travel costs. Streaming can be archived and accessed according to employee schedules. Live streaming extends event reach and builds awareness. Because live streaming video is happening now, it creates a sense of urgency and helps grow audiences. Events can be filmed in 4K as a premium service, though ACV only broadcasts in 1080p. The 4K version will be supplied after the event. Think about evergreen content. The video can also be integrated into the Live Event Video section of your website. It also can become a standalone sizzle video to promote a future event. Sometimes we just get lucky. When a colleague asked me to fill in for him as the lead videographer at the Ron Dellums’ memorial service, I assured him I could fit this into my calendar. Dellums was a Marine and a social worker, a Berkeley City Councilman and a U.S. Congressman. Ron Dellums’ memorial service guest list was a who’s who of political and social elite who spanned decades and remain relevant, including speakers Barbara Lee and Nancy Pelosi. Incredibly, Stevie Wonder made a surprise appearance and sang, “ If It’s Mag ic” and “ Love’s in Need of Love Today ”. Stevie Wonder playing at Ron Dellums Memorial Event Every shoot begins with obsessive attention to technical details I spend a lot of time prior to each shoot setting up and testing to make sure I’ve done everything I can to create the best possible result. I invest in quality equipment, and I always carry backups in the event of equipment failure. While I’m always aware of the program I’m filming, I’m more focused on the technical details of the shoot—lighting, camera positions, framing and achieving optimal sound clarity. For the Ron Dellums memorial service shoot, my assistant Mitch and I used multiple cameras. Nancy Pelosi was one of the distinguished guests The video feed was projected onto large screens positioned around the venue, as the crowd spilled over into every room of the Jack London Square facility. Video is storytelling The event setup needed to be orchestrated carefully so that I could seamlessly capture speakers, musicians, the Dellums’ family members and interactions within the community. I used two very stable video riser platforms to make sure I was above the heads of people in the audience. I always think about how a video is going to be used. In this case, the film was a live feed at the venue on several large screens as well as an archive capture of the event. Video is storytelling and has to have a certain rhythm and flow. As I filmed this event, capturing the musical performances and the heartfelt messages from the speakers, I was aware that I was creating an important memory for Mayor Dellums’ family and all those who attended. Planning Your Promotional Video Script – You’ll need to write a compelling and informative script, then review it with our team. Make sure you’ve included an attention-getting introduction, a conclusion summarizing key points and a call to action. Timing – We recommend two to three quality minutes. Time yourself and edit where necessary. Use action verbs and short sentences. Slow down and speak clearly. Content preparation – Be comfortable with your content so you can speak conversationally to your audience. We can use a teleprompter, but for some, it makes the delivery too stiff. A professional voiceover narrative can also be a good option. Selecting and Using B-Roll You’ll want to include cinematic B-roll in your video to provide visual variety. B-roll footage plays in the background behind the dialog and is an important part of telling an engaging story. The more B-roll we film, the better the end result. Make a list of the essential shots you want to capture so that your script and B-roll shots follow the storyline. The other alternative is to select B-roll footage from stock websites. You might consider special animation or white boarding techniques as the B-roll. We will brainstorm your ideas so that storyline content combines with visual flow. Video and SEO (Search Engine Optimization) One very good reason to be including promotional videos on your website is for its SEO value. According to Cisco, 80% of all internet traffic will be represented by video by 2019 —but you’ll need to work it. Some best practices include sharing promotional videos on your social sites. A video on Facebook gets 135% more engagement than a photo. Experts also recommend including a transcript. Remember that Google ranks on keywords—the search engine needs content to be able to rank a page. Best Practices A best practices tip: Brand your video—include your logo and a call to action. After checking my schedule, my response was a resounding yes! This was my fourth Live Stream shoot for the Marianne 2020 US Presidential Campaign. This shoot meant traveling with all my gear to New York City! Let me tell you, that is a lot of equipment to schlepp. My wife, Leia, assisted me on the shoot, and we set out a plan of action. Outside the New York Society for Ethical Culture The shoot was Live Streamed for an audience who paid to see the event from the comfort of their homes. This was also a fundraiser event with high priced seats. Weeks prior, campaign emails billed the event as a ‘historic livestream’ so I really had to be on my game. A lot of people signed up for this and it had to be spectacular! I really had to be on my game. A lot of people signed up for this and it had to be spectacular! We arrived in New York on the evening of December 15, 2019. It was cold and rainy, but lovely this time of year. Christmas decorations and good cheer filled the air. The next day we got up early. The hotel was only 5 minutes from my favorite video store, B&H, so I managed to make a quick pit stop to satisfy my video cravings. Outside my favorite video store B&H The event took place at the New York Society for Ethical Culture – a beautiful old stone building next to Central Park. The New York Society for Ethical Culture Multi-Camera Live Stream Set Up The first task was to find a great shooting location for the cameras with a clear view of the front stage. We had to take into consideration the audience waves signs high in the air when Ms. Williamson makes an important statement. An enthusiastic crowd waving signs Eventually, I found the right location, slightly above the mezzanine in between seats with a raised clear view of the stage and very stable footing. The area had to accommodate two cameras with tripods and two stands, all sandbagged for extra support. The second camera person was introduced to me, coincidentally named Alan, and I quickly went through all the camera details. We set a location on stage left for audience reaction shots. All three cameras were wirelessly connected to my Sling Studio streaming hub, which is then connected to an iPad for video switching. Once connectivity has been established, it’s on to the next task. The iPad switches the video sources Factors to Consider Finding a great location for all three cameras with no blocked views Setting up cameras on stable ground White balance, color match and exposure test all cameras Make sure wireless cameras connectivity work Coordinate with in-house A/V technicians and connect audio transmitters or hardwire to venue sound system Check upload speed of facility ethernet connection Check with lighting technician to make sure lights are balanced Decorate stage and detract what can be removed if necessary Test live stream remotely Trust in the universe that everything is going to work Deepak and Marianne in conversation Internet Connectivity Next, I ran a speedtest on the facility ethernet and the upload speed only registered 2mbps. Way too slow for livestreaming! The facility manager was immediately informed and it took over two hours before everything was reset. After some frustration, we eventually had a satisfactory streaming speed of 29mbps and we were good to go. Audio We then tested the hardwired audio feed from the sound desk, only to find there was scratchy distortion in my headphones. I tested the audio on both cameras and had the same result. This meant it had to either be the facility cable, connection or something out of my control. Brandon, the A/V guy and I tried to solve the problem. Marianne Williamson at the NY Society for Ethical Culture Williamson’s production manager was not pleased. The venue had connectivity issues that we did not expect. Our paying audience were relying on us and we had to solve problems fast! The event started in just over an hour and I needed a clean audio feed. After pondering what to do, I decided to try my backup wireless AVX Sennheiser audio system. The cameras were located under the balcony and the sound desk above the balcony at the back of the auditorium. It seemed almost impossible that the wireless signal would be received with no clear pathway. Surprise surprise, it worked like a charm! A clean beautiful audio feed using my system and not relying on house connectivity. I’ve always invested in the best equipment and have backups of all my essential components. My obsessive attention to detail and preparation paid off. With internet and audio issue solved, I was feeling relaxed and confident we were going to have a great broadcast. The event eventually started at 7:30pm. A young woman who had worked closely with Marianne gave an elegant intro speech and Deepak Chopra appeared on stage to an overwhelming crowd. Deepak Chopra Deepak spoke for 20 minutes about the perils of our political climate and emphasized that the future is in our own hands. An enthusiastic audience as Marianne takes the stage He then introduced Marianne to rapturous applause. The enthusiastic crowd went ballistic waving their placards. Eventually Marianne came on stage and spoke with the conviction and integrity of a true leader. Rapturous applause for two icons It was a momentous evening. Some would say historic! It certainly was a memorable shoot for Leia and myself, and when done, I knew I pulled it off with a great result! Live Streaming & Virtual Events Video production is an essential service during the COVID-19 pandemic! We are fortunate to have this technology to help us carry on community events when physically gathering is difficult. Covid-19 Video Production In response to the Covid-19 pandemic, we’ve adopted some best practices to help us manage filming events and conduct business safely. We are taking care to protect ourselves and our clients by following strict CDC guidelines and recommendations for video production. General Precautions Masks will be worn by camerapersons at all times. Filming distance from the subject will be a minimum of 6 feet. All equipment will be sanitized before and after the shoot. Protocol for Interview Filming Masks will be worn where possible by interviewees in between dialogue. Cameras will placed no closer than 6 feet to the subject. There will be no physical contact with clients in any way. For audio, ACV will mainly use an overhead shot gun mic, instead of a lapel mic. If the location is too small and does not allow the use of a boom stand, the client will be asked to place their own mic on their lapel and will be given instructions how to do that. Protocol for B-Roll Filming All b-roll will be planned beforehand to make sure that filming will be safe and efficient for all parties. Locations will be vetted to make sure that there is enough space for camera person and talent. Filming distance from the subject will be a minimum of 6 feet unless a closer view of an essential object is required. It’s helpful to have a ballpark figure of how much you want to spend, and it’s important to know your limits. 2. What is the goal or business objective for your video? What are the key messages that you want to convey in the video and why do you want to create it? 3. Who’s your audience? How would you like your video to be narrated? Do you want voiceover, animated text titles, talking heads? Think about this before you start, because each option gives a very different feel to a video. 5. Can you provide examples that you like for style, music, narration? Do some googling or go to YouTube and find video examples whose styles and presentations you like and think would work for you. 6. Do you want the video to be like a documentary? Would you like lots of talking heads? Maybe you want to create something impressively cinematic. Spend some time searching YouTube, Vimeo, etc. Identify videos you would love to have as your own, whether they are from the same industry or not. Look for stylistic examples. 7. How will the video be deployed? Will the video be embedded on your website, used in an email campaign, or shown at a tradeshow? Will the video be hosted by you, YouTube, Vimeo or another third party? 8. What is your deadline? Specify a deadline at the beginning of the project. Identify how you want to take delivery of the final product. 9. What do you want your video to include? Identify content. Explain what you can already bring to the table — locations, contributors or a celebrity for voiceover. You may have archive footage that you would like to feature or you might want to include an interview with your CEO. All of these need to be addressed during the pre-production phase of the project. 10. What available resources can you leverage? Do you already have videos that can be repurposed? Make sure you’ve included an attention-getting introduction, a conclusion summarizing key points and a call to action. Timing – We recommend two to three quality minutes. Time yourself and edit where necessary. Use action verbs and short sentences. Slow down and speak clearly. Content preparation – Be comfortable with your content so you can speak conversationally to your audience. We can use a teleprompter, but for some, it makes the delivery too stiff. A professional voiceover narrative can also be a good option. Selecting and Using B-Roll You’ll want to include cinematic B-roll in your video to provide visual variety. B-roll footage plays in the background behind the dialog and is an important part of telling an engaging story. The more B-roll we film, the better the end result. Make a list of the essential shots you want to capture so that your script and B-roll shots follow the storyline. The other alternative is to select B-roll footage from stock websites. Video Production There are many components that make a successful commercial video: from making sure you have the right location, setting up the lights and camera, directing your talent, wearing the right clothes and making sure you have filmed great b-roll. Video Production After the pre-production phase comes the actual video production process. By now we have carefully identified your filming requirements and project scope. Careful planing is critical for your project’s success. Video Location Considerations Location becomes the next challenge. An inspiring backdrop or interesting room will add value. The location must be quiet and without distractions. Be aware of ventilation noise and unwanted sounds. A large room can provide an expansive, cinematic look. For depth of field, a blurred background look, can be a desirable effect for interviews. For this effect, it’s necessary to plan for space in front of and behind the camera. If shooting outside on location, be aware that lighting will change throughout the day. Morning and late afternoon are optimal times to shoot. If the shoot takes longer, it may take another day, which can add to the budget. Considerations on Production Set It takes time to set up cameras and assess the room for the right framing and camera angles. A good videographer will have years of experience to find the best position in any environment. Using multiple cameras will add visual variety, and each camera must be color balanced and matched to have a consistent look. Good lighting on set is essential. For a typical interview shoot, a three point lighting setup is used. A key light is the main light, a back light (or hair light) to separate the subject from the background and a fill light to fill in shadows. Lighting adds mood and each shoot is different depending on the subject matter and the mood you want to convey in the final product. What to Wear for Your Video Shoot What you wear can make a difference. Avoid wearing stripes or patterns. Don’t wear all black or white. Stick with neutral tones, gray and pastels. You don’t want to blend into the background so if you know ahead of time what color the background will be, avoid wearing that color. Avoid green if you’ll be in front of a green screen. Bring a few different outfits, just in case. Don’t wear dangly jewelry, especially bracelets, as they can cause unwanted sound. If you wear contact lenses or glasses, wear contacts if possible, as glasses can reflect lighting glare. If you have anti-reflective glasses, do wear these. Sometimes we use a little powder for both men and women to remove unwanted shine on faces and heads. It can be a good idea to bring a brush, comb and tissues. The Experience of Being Filmed It’s totally okay to be nervous in front of the camera. Most people are! Remember that each section can be filmed again until you’re happy with the result. We try to avoid using a teleprompter, as the results can be stiff and forced. We want the result to be natural and conversational. Practice at home until you’re comfortable.
