While the implementation of Kaizen can bring numerous benefits, the impact on profitability is particularly significant because in manufacturing you make a profit or a lost is based solely on the time you spend manufacturing the product. This blog post explores how Kaizen can help a manufacturing company increase its profitability by focusing on continuous, incremental improvement. Understanding Kaizen Kaizen involves everyone in an organization, from upper management to the assembly line workers, and encourages them to suggest and implement small changes to improve processes, quality, and productivity. The Purpose of this document is to define supplier requirements and expectations of doing business with Halcyon Manufacturing.   2. Scope 2.1. This procedure applies to all purchase orders issued by Halcyon Manufacturing. Section 4 of this document applies as general requirements and pertain to all Purchase Orders regardless of scope of work. Where applicable additional Quality Clauses are defined in Section 5 of this document. These Quality Clauses are required when invoked on Purchase Orders. Where there is a conflict between this document and the Purchase Order the latter will take precedence. These requirements will be flowed to all sub tier suppliers.   3. General Requirements 4.1. Quality Requirements 4.1.1. The core quality requirement is for all features to comply to specifications 100% for all parts produced and shipped. If the process is not capable of meeting 100% yield it is Halcyon Manufacturing’s expectation that suppliers pursue measurable continuous quality and delivery improvements. 4.1.2. Suppliers shall comply with all contractual requirements, (including but not necessarily limited to Long Term Contract and general purchase order provisions agreed between the parties), for notification and approval of changes in design, material, manufacturing location, manufacturing equipment, production processes, and any other process related to the Goods in place as of the purchase order issuance date. 4.1.3. Suppliers will retain all quality records including inspection reports, FAIs, Work orders and other supporting evidence of conformity for a period of no less than 7 years unless otherwise stated. 4.2. Right of Access 4.2.1. Suppliers will permit access to Halcyon and its representatives including our customers and vendors to the extent necessary to perform services and verification/validation activity. Where sub tier suppliers are used the right of access will be extended to the entire sub tier supply chain. It is the suppliers responsibility to communicate these rights to their supply chain. 4.3. Changes in Process, Design, Quality System, Facilities, Management or Ownership 4.3.1. Suppliers shall immediately notify the Halcyon Manufacturing of any; changes in quality leadership, scope, name, or address of Quality Management System registrations, or controlled processes certification status, including suspensions or disapprovals. Suppliers shall also notify the above parties in the event of complete company closure. 4.4. Configuration Management 4.4.1. The Supplier shall ensure that the current configuration of all drawings, specifications, and instructions required by the Contract / Purchase Order, as well as authorized changes, are used for manufacturing, inspecting, and testing. 4.5. Source of Supply 4.5.1. When the source of supply is specified on a drawing or specification invoked by purchase order in any manner, only those sources of supply shall be used. The use of any alternate sources not specifically listed on the drawing or its associated specs/databases is prohibited unless otherwise specified by specific requirements flowed on the Purchase Order. 4.6. Certifications – General 4.6.1. The Supplier is responsible for maintaining and supplying accurate and legible certification documentation as objective evidence of meeting drawing, specification, technical data, or purchase order requirements 4.7. On Time Delivery 4.7.1. The supplier is responsible for maintaining acceptable on time delivery performance. Typically, minimum acceptable performance is an average of 99% on time. 4.7.2. Suppliers will notify Halcyon Manufacturing if issues arise that risk on time delivery as soon as reasonably possible even if actual delays are uncertain. 4.8. Confidentiality 4.8.1. Suppliers will maintain confidentiality regarding all aspects of business conducted between the supplier and Halcyon manufacturing in accordance with this document and any applicable Non-Disclosure agreements. 4.8.2. At times it may be necessary to share certain information for the purposes of supplying products or services to satisfy Purchase Order agreements. In this event the supplier shall request written authorization prior to sharing proprietary or otherwise confidential information. 4.9. Non-conforming product 4.9.1. Non-conformities discovered by the supplier will be contained and segregated from conforming product. If the nonconformity risks the ability to meet on time delivery the supplier shall notify Halcyon Manufacturing as soon as reasonably possible even if actual delays are uncertain. 4.9.1.1. Containment applies to any known or potentially affected product that is either in WIP , Inventory, in transit or that has been delivered to Halcyon Manufacturing 4.9.1.2. Non-conformities discovered post delivery will be credited, replaced, or canceled at the determination of Halcyon Manufacturing 4.9.2. Disposition of Non-conforming material will be subject to the following criteria 4.9.2.1. Scrap – Determination can be made by the supplier 4.9.2.2. Rework – Determination can be made by the supplier and records of the Rework Instructions must be maintained 4.9.2.3. Repair – Suppliers require concession and approval prior to performing any repair. The approval must be in writing. 4.9.2.4. Use As Is – Suppliers must acquire approval from Halcyon Manufacturing to allow Use As Is. This approval must be in writing 4.9.3. Records of nonconformity must be maintained by the supplier. Records must include the Defect being rejected, the requirement that was not satisfied, the date the defect was identified, the disposition of the defect and approval to carry out the disposition. These records must be made available to Halcyon Manufacturing upon request. 4.9.4. Return of Scrap will be determined by Halcyon Manufacturing. Where return is not required the supplier may scrap on site. 4.10. Communication 4.10.1. Communication will flow through appropriate channels and should be directed through Halcyon Manufacturing. Request a quote Halcyon Manufacturing Terms and Conditions of Sale  (Terms and Conditions attached to Quotations supersede these terms)    Our goal is to provide Dependable Quality, On-time Deliveries and Outstanding Service at Competitive Prices.  Our ability to meet that goal depends to a large degree on receiving accurate and reliable information from our customers. ​ The following standard Terms and Conditions are in place to ensure that your project will go as smooth as possible.  They have been developed from experience and are designed to prevent surprises to either party. Any exceptions to these Terms and Conditions must be specifically noted on a job-by-job basis. Payment Terms: All payments are due at the delivery of order unless agreed upon by both parties. In such case, net terms will be identified on quotes/purchase order. Buyer agrees that any overdue amounts may be subject to a late payment charge on the over due balance of 1.5% per month or such lessor amount as is the maximum rate of interest allowed by law. Buyer shall pay any and all reasonable costs, including collection agency and attorney fees, incurred by Halcyon Manufacturing while collecting any delinquent balance.   Pricing:   All prices are quoted based on the information provided to us at the time of quoting.  Prices are valid for 30 days.  Quoted prices are sensitive to total quantities, delivery frequency and batch size.  Any changes to total quantities, batch sizes or delivery requirements from what was quoted may affect the price.   Lead Time:   Lead times quoted are estimated and are not guaranteed.  Lead-times may vary due to current workload, material availability, job complexity and quantity of order. Once a Purchase Order is received, prices and current lead times will be confirmed to the buyer. In the case, material is provided by the buyer, lead time starts once all material is received.   Purchase Order:   A written purchase order is required for all orders.  All purchase orders will be reviewed against our quotation for accuracy.  Any changes to the scope of the project subsequent to the quote will require a re-evaluation of the quote. Initial work on the project will not begin until the requirements of the project are accurately defined, prices are agreed upon and reflected in the purchase order, and all information and materials to be provided by the customer are received.   Quantities:    Buyer agrees to accept over/under runs not to exceed 10% of ordered quantity on each line item. Closer control of quantity requires special arrangements with vendor.   CAD Files / Drawings:    Programs are created for our CNC machines from the CAD solid model files supplied to us.  It is presumed that the customer will supply accurate CAD models and drawing files.  Halcyon Manufacturing is not responsible for errors in CAD models and/or drawing files supplied by the customer.  Additionally, and unless specifically quoted, Halcyon Manufacturing is not responsible for verifying the CAD model files against the drawing files.  Simply specifying that the drawing file or the model file takes precedence over the other file is not an acceptable solution since both files need to match in order for us to perform our job.  If errors in the customer-supplied CAD files are discovered while parts are in-process, additional charges will be incurred on a “time and material” basis as needed to correct the errors.  The customer will be advised of any extra charges and a purchase order or P.O. revision will be required to cover the charges  work can resume.  If errors in the CAD model and/or drawing files are found after the parts are completed, the customer is obligated to buy the parts at the quoted price.   Customer Delays and/or Holds:  Your parts are being produced on high-cost, high-volume equipment.  It is therefore very costly for a machine to sit idle while waiting on information from the customer.  In the event of delays or holds caused by inaccurate or incomplete information, or other customer related reasons, it will be necessary to pass additional charges onto the customer.  In some cases, depending on the length of delay, it may be necessary to pull the job out of the machine.  If that occurs, additional setup charges will be incurred.   Work will not proceed on the project and a new delivery date will not be established until we receive a purchase order or P.O. revision for the additional charges.   Non-Recurring Engineering (NRE) Charges:    Whether quoted separately, or amortized into the piece price, Halcyon Manufacturing always incurs NRE costs.  Those costs include fixturing, engineering, programming, tooling, set-ups, etc.   Each quotation will include NRE charges based on the information that we have been provided at the time of quotation.  If at any point it becomes obvious that the scope of the project has exceeded what was included for NRE costs, it will be brought to the customers attention and a resolution as to how to handle potential extra costs will be determined before proceeding any further.   Expedited and Minimum charges:   Halcyon Manufacturing will quote expedited surcharges upon request.  When expedited services are required, minimum charges for our services as well as our outsource suppliers will usually be necessary.   If a project needs to be expedited, please contact our sales department to discuss the best options available.   Cancellations: Orders may be cancelled or deliveries deferred only upon condition that the buyer assumes immediate liability and makes payment for all work completed and in process.   Such charges shall include raw material, unamortized tooling, engineering, handling, overhead, production, and outside cost; i.e. heat treat and plating. Such charges will be determined at the time of cancellation or deferment.   Delivery/Shipments: Seller shall not be liable for damages for default or delay in production or delivery for causes beyond his control including an accident to or breakdown of his equipment, labor disputes, embargoes, acts of God, supplier delays, government restrictions, riot or carrier delays. Bulk packaging is standard. Buyer shall bear the expense of all other packaging.   Taxes: All sale and/or use taxes and Custom duties imposed by Federal, state, county or municipal authority upon seller’s transfer and delivery of merchandise hereunder shall be paid by the buyer.   Samples: If requested, seller will submit samples for approval when commencing production upon any order.  It is understood that seller’s machines are to be run immediately. Any changes in original specifications will be made only at buyer’s direction and expense. Seller will be notified immediately with notice followed by written confirmation.   Claims: In all claims for shortages and/or damages, buyer must notify seller within 5 business days of receipt of shipment for ample time to investigate or file claim with shipping carrier.  Charges for repair or inspection of parts by buyer, without prior authorization, cannot be honored.  Claims will not be honored on those parts further processed by buyer resulting in change of dimensions or characteristics from parts ordered.
