Host to more than 200 functions and 40,000 guests each year, The Green Room is a beautiful example of Beaux Arts architecture, known for its distinctive color, soaring ceiling and russet tiled loggia.
It is located on the second floor the Veterans Building, in the heart of San Francisco’s Civic Center.

The Green Room — perfect for dinners, lectures and receptions — also provides an ideal location for events held in conjunction with performances in the Herbst Theatre and War Memorial Opera House.
Five 24-lamp chandeliers, a wide-open floor, built-in wet bar, and floor-to-ceiling windows that lead to an outdoor loggia overlooking San Francisco City Hall, make The Green Room a beautiful and flexible event space. Rental of The Green Room includes access to the freight elevator and exclusive use of an expansive catering staging kitchen.

CANCELLATION
SFWMPAC retains the full rental fee unless the date is re-rented to another party. If the date is re-rented, SFWMPAC will retain an administrative fee of $250.
WEDDINGS AND PRIVATE PARTIES
We welcome Wedding Ceremonies, Private Parties and Receptions during the months of July and August.
(Weddings in June, September, December & January will be considered on a case-by-case basis pending other activity in the building.)

Booking
INFORMATION
Please note: A minimum of 6 weeks is required to plan, contract, staff, and execute your event in the Green Room. Shorter booking timeframes may not be possible.
1. INITIAL INQUIRY
Contact us to check availability of your desired date. Availability is limited, so be prepared with alternate dates and a clear sense of the timeline, technical needs, expected guest count and desired services.
2. APPLICATION & RENTAL DEPOSIT
In order to secure the date, submit a completed application together with the rental deposit (one half of the base rent).
3. LICENSE AGREEMENT
We issue a Short Term License Agreement (STLA). Next steps:
Sign and return the STLA and related documents.
Pay the balance of the rent.
4. EVENT & SITE VISIT
Forty-five (45) days prior to your event, submit a floor plan and a completed Appendix C, which details your event timeline, technical elements and needed equipment. Confirm desired guest services, food and beverage requirements and any additional needs. Additionally, conduct a site visit with your caterer. Site visits are by appointment.
5. PAY EXPENSES DEPOSIT & INSURANCE
No less than four-weeks prior to your event, furnish proof of insurance and pay your expenses deposit to cover the total estimated cost of labor and equipment. See Fees & Expenses for more information.
6. SETTLEMENT
Following your event, you will receive a full settlement and a refund of the unused portion of the expenses deposit. This process typically takes two weeks.
7. CHALLENGE PROCEDURE
If another party has a hold on your desired date, you may challenge their hold by submitting a completed application and a check for the full base rental fee. The challenged party will then have two working days to pay the rental fee or release the challenged date. Only one held date can be challenged at a time. If your challenge is successful, the rental fee is not refundable.

REGULATIONS
ACCESS
Hours specified in the Short Term License Agreement (STLA) are the only hours Licensee and their staff, vendors, performers, volunteers and guests may access The Green Room or its support spaces. War Memorial staff must be present at all times. Events must end at 11:30 pm, unless prior approval is granted by the War Memorial.
SET-UP & BREAK DOWN
Licensee is responsible for all set-up and break down in The Green Room, and for proper movement and storage of all equipment. Should equipment be moved while an event is in progress, clear guests from the area where the work occurs. Chairs should be left in The Green Room and restacked in racks of eight. The Green Room must be left clean and clear of equipment or additional cleaning fees will apply. Cleaning supplies beyond a mop and broom are not provided.
FOOD & BEVERAGE
Only licensed and insured caterers may provide food and beverage service in The Green Room. Caterers must have a manager on site at all times.
Consumption of food and beverage is permitted only in The Green Room and on its loggia.
Sale of food or beverages is permitted only with prior War Memorial approval and requires appropriate licenses.
Food and beverage service areas must be matted. Ice must be delivered and moved in plastic tubs.
Only ice and liquids may be disposed of in sinks (no coffee grounds or foodstuffs). Do not dispose of ice in restroom sinks, toilets or on the lawn.
Should leaking or spills occur, clean them immediately.
Licensees and their caterers are responsible for removal of all ice and garbage from The Green Room following the event.
CAPACITY
There is no admission of persons in excess of the capacity approved at time of booking.
CARE & PROTECTION
Special care should be taken to preserve and protect floors, walls, elevators and equipment. Use carts and dollies with rubber wheels to prevent scratching floors. Avoid dragging or rolling metal items, and items with metal edges, bases or glides. There is no use of tape, staples, tacks or nails to affix materials.
STORAGE
All equipment and supplies must be removed promptly following the event. Storage is not available.
CANDLES & HEATING DEVICES
Bottled gas is not permitted. Use of candles, open flame, sterno and electrical equipment must be approved in advance, and candleholders must meet specifications of the San Francisco Fire Code (i.e. candleholders extend 2” above the flame). The use of sterno and flame candles requires a fire permit.
ITEMS NOT PERMITTED
Bottled gas in any form, “fog” or “smoke” producing equipment, balloons, birdseed or rice for throwing, keg beer, confetti, glitter or loose flower petals.
KITCHEN PREP ROOM
Use of a modern catering kitchen is included in the rental. The kitchen must be left clean and clear of equipment or additional fees will apply. Provision of cleaning supplies is the responsibility of the caterer or licensee.
NOISE LEVELS
Because we are a multi-use venue, we cannot permit bands with amplification. Doors to The Green Room must remain closed whenever music or entertainment is occurring in The Green Room or the Herbst Theatre. During Herbst Theatre performances, corridor noise should be kept to a minimum so as not to disrupt their audiences.
POSTING OF DISPLAY MATERIALS
Use of display areas is a non-exclusive right and Licensee will not post or allow to be posted any signs, cards or posters on the premises, except as approved in advance.
SMOKING
Smoking is prohibited by law inside the Veterans Building. This includes no smoking on The Green Room loggia.
RESTORATION
When load out is complete, Licensee or their designated representative will accompany the War Memorial Event Manager on an inspection of all areas used for the event. The Contingency Deposit may be withheld if:
Licensee does not complete room break down and restoration.
Event access hours exceed those specified in the STLA.
There has been damage to the facility or its equipment.
Additional funds are required for rent, personnel fees or equipment rentals.
SECURITY GUARDS
War Memorial Security Staff is responsible for building security. Additional private security can be arranged as needed by the War Memorial. The Veterans Building is open to the public and home to a wide variety of tenants. Specific event security needs should be presented at the time of booking.

[email protected] Veterans Memorial On October 10, 2014, the people of San Francisco dedicated this memorial to our nation’s veterans in honor of their service. DESIGN STATEMENT ON THE “PASSAGE OF REMEMBRANCE” by artist Susan Narduli For half a century, the octagonal lawn in the Memorial Court has served as a little-known repository of earth from lands where Americans fought and died. This stone octagon, now enclosing that earth, is a reflection on memory, within a democracy and amidst the day-to-day life of civil society. I wanted to create a place that is at once separate from and part of the city. The sloping entrance and the encircling flow of water mark off a place apart, but the city continues to bustle along close by. The Memorial invites contemplation of what the soil held here means today, what it meant to the men and women who strove for it, what it means for the future, what it means when a democracy goes to war. It’s a personal conversation held in a public space. The Young Dead Soldiers , the Archibald MacLeish poem engraved in the path through the octagon, continues that conversation between the living and our war dead. They ask for us to give their deaths meaning, to remember. The polished stone captures a visitor’s reflection and the reflections of people nearby, the people charged with remembering and giving meaning. The Memorial has been designed so that it can be opened to accept newly consecrated earth from battlefields not yet known. This earth will become part of a continuum, with the soil of one battlefield mingling with that of another and, over time, with our own American soil, as the memory of battle filters into our communal understanding. It is an expression of the bonds of commitment and sacrifice between those who serve, and a statement that our veterans always are and will be of one American people, part of us. The Memorial Court AND SACRED SOIL Today, the heart of the War Memorial Complex is the Memorial Court, a panel of lawn set on axis with the dome of City Hall, flanked by pollarded Plane trees lining recessed pathways in a basket weave pattern of pebble mosaic paving. But when the War Memorial Opera House and Veterans Building opened in 1932, this heart was barren. Funds were so depleted by the construction of the buildings no landscaping had been executed. It was in 1935 that War Memorial Complex architect Arthur Brown, Jr., recommended landscape architect Thomas D. Church be engaged to complete the Memorial Court. Mr. Church, renowned for his gardens reflecting the Beaux-Arts tradition, set to work and completed the design in 1936. His drawings reference a “future memorial” to be added in the octagonal area of the Memorial Court. Over the years honor was shown to fallen veterans by interring battlefield soils in the Memorial Court octagon. Soils from World War I battlefields were consigned there at the time of its completion. A similar ceremony depositing soils from World War II battlefields took place following the 1945 signing of the United Nations Charter in the Veterans Building. In 1988, veterans groups held a ceremony interring battlefield soils from Austria, Belgium, Cambodia, China, Egypt, England, France, Germany, Guam, Italy, Laos, Nicaragua, the Philippines, Thailand and Vietnam. And in 2016, parents of fallen soldiers held a ceremony to add soils from Iraq and Afghanistan. Prior to beginning construction of the San Francisco Veterans Memorial, the soil from the center of the octagonal area of the Memorial Court was carefully removed and safeguarded. The Passage of Remembrance provides an area within its walls where this soil was re-interred as part of the Memorial’s dedication. Battlefield soils from other conflicts will be added in ongoing remembrance of the courageous men and women who have given themselves in the service of freedom. DATE CONFIRMATION Once your date is confirmed, submit a completed application together with base rental rate. 3. LICENSE AGREEMENT We issue a Short Term License Agreement (STLA). Next steps: Sign and return the STLA and related documents. For activities requiring catering services, execute a separate agreement with Global Gourmet Catering . 4. FINALIZE DETAILS Prior to issuing your Short Term License Agreement: Confirm the timeline, technical elements and needed equipment with our Stage Electrician. Additionally, confirm desired audience services, food and beverage requirements, and any additional needs. 5. PAY PERFORMANCE DEPOSIT & INSURANCE No less than three weeks prior to the start of your activities, furnish proof of insurance and pay your Performance Deposit, which is a deposit paid to cover the total estimated cost of labor and equipment. To create a personnel estimate, we will need your complete timeline, expected attendance, and desired guest services. INSURANCE A Certificate of Insurance with an Additional Insured Endorsement is required for all events and performances. Insurance must include Workers Compensation coverage, Public Liability coverage of $1 million, Property Damage coverage of $1 million and Host Liquor Liability when alcohol is served. Insurance is also available through the War Memorial. Costs vary based on guest count, event type and length. EQUIPMENT Equipment rental is a flat fee for use of chairs and tables. Sound and electrical equipment and stage equipment are not included in the flat rate fee. A separate itemized charge will be applied. See Equipment for an inventory. CONTINGENCY DEPOSIT A refundable $300 contingency deposit is required for all events. EXPENSE DEPOSIT The expense deposit is a deposit paid to cover all estimated personnel, equipment and insurance, as well as any other costs that fall outside of the rent. It will be used to cover all expenses and any unused portion will be refunded at the time of settlement. AVERAGE COST The average cost of an event is based on the rent combined with the expense deposit. While costs vary widely, nonprofit events have average expenses of $2,500 to $3,000. LABOR Performances and events require union stage labor, front-of-house staff, event management, security, and custodial and engineering services. Creating an estimate requires knowing the exact nature of the performance or event, including its timeline, complete technical needs, expected guest count and desired audience services. INSURANCE A Certificate of Insurance with an Additional Insured Endorsement is required for all rental activities. Insurance must include Workers Compensation coverage, Public Liability coverage of $1 million, and Property Damage coverage of $1 million. Insurance is also available through the War Memorial. Rates are available on request. EQUIPMENT Equipment rentals are dependent on the needs of each performance or event. Estimates will be developed at the time of booking. MERCHANDISE SALES Merchandise sales must be approved in advance. The War Memorial retains 10% of net sales plus applicable sales tax. Licensee must provide seller(s). AUDIO & VIDEO RECORDING Arrangements for recording must be made in advance and require a separate agreement. Recording(s) may require additional equipment rentals, union labor and origination fees. COMMERCIAL DISPLAYS Third-party commercial displays in the venue (such as corporate sponsor banners or giveaways) must be approved in advance and may be subject to a commercial display fee of $1500 per day. Evolv Express (Patron Screening) FAQs What is the War Memorial & Performing Arts Center’s new patron screening system? The War Memorial & Performing Arts Center has implemented the Evolv Express Patron Screening System to increase safety in our venues. Evolv Express uses advanced sensor technology to pinpoint and distinguish a wide variety of potential threats versus many common everyday items, such as keys and phones. It is designed to alert the location(s) or potential threat(s) to reduce the need for manual searching. Why is the War Memorial & Performing Arts Center installing a patron screening system? The safety and well-being of our patrons, staff, and artists are a top priority for the War Memorial & Performing Arts Center. As part of our continued improved security upgrades throughout the campus, we are implementing the Evolv Express Weapons Detection System at ticketed entrances across our performance venues. The use of this system is another layer of our comprehensive security program. What can patrons expect at entrances? Patrons will walk through an Evolv system after having their tickets scanned at the venue entrance. If the device alerts, the patron will be directed to a secondary screening area for a follow up screening. See below for our Bag Policy and Permitted Items. What do I need to remove from my pockets before walking through the Evolv System? Nothing! Patrons can walk through the Evolv system with keys, cell phones, and other permitted items in their pockets and bags. If the system alerts, the patron will be asked to step to the secondary screener. What happens when the Evolv system “alerts” security staff of a possible threat? When a possible threat is detected, a security team member will receive an alert indicating who triggered the detection system and the general location of where the item may be located. Security will ask the individual to step aside to an area adjacent to the screening unit to conduct a hands-off secondary screening to address the situation. How does security know where to search? Through its advanced sensor technology, the Evolv display identifies a possible threat by indicating where the potential threat is located on an individual. Security will view the image and determine which area to focus on during the secondary screening. What is secondary screening? Secondary screening is only performed when the Evolv system alerts for a possible security threat. Our security team will inform the individual that an item was detected and ask the individual to verify the item. This may include: The individual being screened using a handheld device to scan them without contact. Asking the individual to open their bag or show the item(s) for a closer inspection. Security will not physically search bags or persons, only a visual or wand-scan search will be conducted. How long will it take to get through the security screening? The impact on patrons and visitors should be minimal. This state-of-the-art frictionless screening system can screen 3,000 people every hour. This is 10 times faster than traditional metal detectors and does not require anyone to empty pockets, remove bags or slow their pace as they walk through. Also, multiple people can pass through the system at a time. What if a patron or visitor presents or declares that they have a weapon when arriving at our facility? Weapons are not permitted inside the War Memorial & Performing Arts Center venues. If a threat is identified upon screening, the patron will have the opportunity to exit the venue and return for re-screening prior to admission to the building. See our Permitted Items list. Will the Evolv technology impact implanted devices like a pacemaker, pump or defibrillator? Patrons or visitors with medically implanted devices may enter through the system as it is considered safe with low risk. Patrons can check with their doctor or proceed through a secondary screening location where they will be screened with handheld wands. All patrons who enter the venues will be screened through either the Evolv system or with handheld wands. Does Evolv technology impact those who are pregnant? The Evolv Express screening technology has low risk to anyone pregnant, but patrons can check with their doctor or proceed through a secondary screening location to be screened with handheld wands. What is the science behind the Evolv technology? The Evolv Express system generates a detection field that is the same as the theft-detection devices in use at large retail stores, which many people pass through regularly. Evolv’s distinction is in how it processes the information. For further information, see Evolv’s health & safety brochure here . How should I enter if I use a mobility device? Individuals can pass through the Evolv system in a wheelchair, using a cane, or on crutches. If you have a bag attached to the wheelchair, you may be asked to remove it and carry it as you pass through the device. How should I enter if I am accompanied by a service animal? Service animals can pass through the Evolv system, however, certain harnesses may require a secondary screening. See our policy on service animals on our Accessibility page. Do I have to pass through an Evolv system? The Evolv Express system is the quickest, easiest, least obtrusive and most secure method of patron screening in our venues. However, patrons who don’t want to pass through the system will have the option of entering through a secondary screening area where they will be checked with a handheld wand. All patrons who wish to enter the venues will need to be screened through the Evolv system or a handheld wand. Do other institutions check for potential safety threats or use this technology? Yes. The Evolv Express screening technology is deployed in over 800 prominent institutions across the Unted States and Canada. The Fox Theater, The Masonic, Outside Lands and Hardly Strictly Bluegrass Festival are performance venues in the Bay Area that use the Evolv System. Other well-known locations include Lincoln Center, The Chicago Lyric, The Hollywood Bowl, and the BOCH Center. Evolv Express is also in use at Oracle Park, SFO Airport, San Francisco General Hospital and several prominent hospitals. Do I have to pass through Evolv to pick up my tickets at the Box Office? No, at Davies Symphony Hall and the War Memorial Opera House, you may continue to enter the Box Office prior to passing through screening. AVERAGE COST The average cost of an event is based on the rent combined with the expense deposit. While costs vary widely, nonprofit events have average expenses of $2,500 to $3,000. Available Positions There are currently no open Administrative positions Volunteering & Ushering HERBST THEATRE The Herbst Theatre has an open volunteer ushering policy, with the exception of select shows. (See note below) You do not need to call or sign up in advance. You may volunteer to usher for any Herbst Theatre performance if you arrive 90 minutes prior to curtain time with a small working flashlight and you are appropriately attired. Appropriate volunteer usher attire is black and white business attire. Business attire includes a suit with shirt and necktie, a pantsuit, a dress or skirt with blouse. To volunteer, arrive appropriately attired at the door to the left of the Box Office in the Veterans Building lobby 90 minutes prior to curtain time (for example, you must arrive at 6:30 pm for an 8:00 pm performance). If you are not on time, wearing proper clothing and carrying a working flashlight, you may not usher. Note: that for celebrity events, only ushers who volunteer on a regular basis may participate. Please also note this policy does not apply to SFJAZZ performances, as SFJAZZ provides their own volunteer ushers. Insurance is also available through the War Memorial. Costs vary based on guest count, event type and length. EQUIPMENT Equipment rental is a flat fee for use of chairs and tables. Sound and electrical equipment and stage equipment are not included in the flat rate fee. A separate itemized charge will be applied. See Equipment for an inventory. CONTINGENCY DEPOSIT A refundable $300 contingency deposit is required for all events. EXPENSE DEPOSIT The expense deposit is a deposit paid to cover all estimated personnel, equipment and insurance, as well as any other costs that fall outside of the rent. It will be used to cover all expenses and any unused portion will be refunded at the time of settlement. AVERAGE COST The average cost of an event is based on the rent combined with the expense deposit. While costs vary widely, nonprofit events have average expenses of $2,500 to $3,000. The War Memorial Board of Trustees, the governing board of the War Memorial and Performing Arts Center, consists of eleven trustees appointed by the Mayor for four-year terms (Charter section 5.106). YOUTH EVENTS As a multi-use venue, we are unable to accommodate youth events, such as proms, dances, bar/bat mitzvahs, debuts, cotillions or quinceañeras. RENTAL RATES FEES & EXPENSES Rental RATES Rental rates are for an 8-hour access period, unless otherwise noted, which includes 3 hours of set-up, 3.5 hours of event time and 1.5 hours for load-out. To create a personnel estimate, we will need your complete timeline, expected attendance, and desired guest services. INSURANCE A Certificate of Insurance with an Additional Insured Endorsement is required for all events and performances. Insurance must include Workers Compensation coverage, Public Liability coverage of $1 million, Property Damage coverage of $1 million and Host Liquor Liability when alcohol is served. Insurance is also available through the War Memorial. Costs vary based on guest count, event type and length. EQUIPMENT Equipment rental is a flat fee for use of chairs and tables. Sound and electrical equipment and stage equipment are not included in the flat rate fee. A separate itemized charge will be applied. See Equipment for an inventory. CONTINGENCY DEPOSIT A refundable $300 contingency deposit is required for all events. EXPENSE DEPOSIT The expense deposit is a deposit paid to cover all estimated personnel, equipment and insurance, as well as any other costs that fall outside of the rent. It will be used to cover all expenses and any unused portion will be refunded at the time of settlement. AVERAGE COST The average cost of an event is based on the rent combined with the expense deposit. While costs vary widely, nonprofit events have average expenses of $2,500 to $3,000.
