From meeting rooms accommodating six people to a Grand Ballroom with seating for 800 people. The Ronald Tutor Campus Center (TCC) has something to satisfy all your event needs. Reservation requests must be submitted AT LEAST 3 weeks in advance. Fall & Spring Semester Hours: Monday – Friday: 7am-11:30pm Saturday – Sunday: 9am-11:30pm Closed Home Football Games and Holidays  Summer Semester Hours: Monday- Friday: 7am-5:30pm Saturday – Sunday: Closed  Offices are open Monday-Friday from 9AM-5PM. For day of assistance with your meeting or event currently in progress, please contact (213) 821-7822. Submitting a Request This form will allow you to request meeting room space at the Tutor Campus Center.  Requests must be submitted at least 3 weeks prior to your meeting. Please note that all staffing requests must be submitted at least 4 weeks in advance. All outside organizations are required to provide a certificate of insurance (COI) naming USC Trojan Event Services as additional insured. USC Private Events & Conferences operates and manages reservation requests for the Trojan Grand Ballroom, Franklin Room Suite (TCC 350, 351 & 352) and Forum (TCC 450) at the Ronald Tutor Campus Center for USC Departments, Administrative Departments and Non-University Clients.  If you fall within these categories, please email the USC Private Events & Conferences directly at [email protected] or call (213) 740-5956 for your reservation request.  USC Recognized Student Organizations (RSOs) will continue to book through the TES Reservation Request click. Trojan Grand Ballroom The Trojan Grand Ballroom is USC’s largest multipurpose room. Used as one large space or as four smaller rooms, the Ballroom can accommodate banquet dinners, social dances, lectures, conferences, fairs and many other event types. Bovard Auditorium Bovard Auditorium, a 1,235 seat theater, has a rich and enduring history as a performance venue. The recent renovation of Bovard enhanced the audience experience by improving on the overall design of the space and theatrical systems upgrades. Tommy’s Place Tommy’s Place is USC’s underground concert venue, located in the Ronald Tutor Campus Center. Our venue features concerts, comedy shows, sports screenings, trivia, karaoke, and more! It’s also connected to Traditions. Outdoor Venues USC is home to many iconic outdoor venue spaces including but not limited to Alumni Park, McCarthy Quad, and more! Reserve Bovard Auditorium Bovard South Hall The Bovard South Hall features highly vaulted ceilings, natural hardwood floor and panelling in a beautiful, light-filled space adjacent to Bovard Auditorium. It can be used for small receptions, holiday parties, meet & greets, or any other small event! It can be rented separately or in conjunction with the Auditorium and comes at an additional cost. Total Capacity: 1235 Bovard Auditorium also has the following accommodations for wheelchair access: Orchestra Level – 12 wheelchair spaces along with companion seats. First Balcony – 2 wheelchair spaces along with companion seats. These seats are not included in the seat count below and will only be released 10 minutes prior to show time. The default seating configuration is Full House Seating. Please visit our  seating page  for more information. Does my rental of Bovard include my staffing? What about additional staff? No. Your rental and staffing rates are separate. Please see the Bovard rental and staffing rates. In some cases, additional Bovard staff are brought on for events for training. In these instances, they are not billed to the client. For these events, the additional staff are for on-the-job training purposes only.  We are a department where our student workers are learning skills specific to their growth and development with TES. Our goal is to adequately staff all events based on the event details. We are confident that these staffing levels help to ensure that each event runs safely and seamlessly.  In the case where we have additional staff for on the job training, please know that we are providing guidance and expertise for our next stage manager, audio and/or lighting technician. If you have additional questions, please let any Bovard Production Manager or Supervisor know. Will the rates differ between a rehearsal and a performance? Yes and No. Your venue rental fee is the same for your rehearsal and day-of performance. Your staffing fees, however, will differ by the number of hours reserved and are evaluated on a case by case basis by Bovard Auditorium’s Production Office. What items are prohibited inside Bovard Auditorium? Confetti, glitter, pom poms, streamers, noise makers (such as whistles or horns), large floral bouquets, balloons, food, beverages (excluding closed water containers), alcohol, illegal drugs, smoking, vaping, firearms, knives, explosives, lighters, laser pointers, sticks, poles, inflatables, frisbees, balls, umbrellas, strollers, skateboards, chairs, and pets (service animals are allowed). I am having a fundraiser. Will Bovard reduce my rates? Bovard Auditorium is a revenue centered theater that relies on income. Therefore, we cannot reduce your rates. Do I need to have staffing during my rehearsal? Yes. Bovard Stage Crew is required for any use of the building. There is no time the building can be used without Bovard Crew present. May I provide my own ushers for my event? No. Bovard Auditorium Ushers are required for your event. Does my rental of the facility include use of the audio system? Your rental of the facility does include use of the House Audio System, if an audio technician was scheduled for your event. Please refer to our  audio information page  for details. Does my rental of the facility include use of the entire house lighting system? You may use the entire house light plot. Please see the detailed outline on our  lighting information page  to view the house plot. Any modification to the house plot will require additional rental time and a lighting technician to be determined by the Bovard Production Manager. Does Bovard have follow spots? Bovard has no follow spots. You will need to rent from an outside vendor and arrange a delivery time with the Bovard Production Office (213) 740-2222. Does Bovard have moving lights? Bovard maintains Mac 550’s and Mac 700’s in a moving light package, which is included in your rental. Visit our  lighting information page  for details about the capabilities of these fixtures. Does Bovard have video or slide projecters? Bovard has a  Panasonic PT-DW10000U video projector  included in your rental. We require a three working day notice regarding your intention to use it. Rear projectors need a throw of 14 to 20 feet. 250V circuits are not available for rear projection. Does Bovard have shower or laundry facilities? Not at the present time. I’d like to serve food during my performance. Is this possible? Food and Beverages shall only be served by arrangement with an on-campus food service provider. No outside food or beverages may be sold. No food or drink is permitted in Bovard Auditorium. Food can be served in the Bovard dressing rooms and Bovard South Lobby only. Can I sell items during my event? No vendors are allowed without permission of both the University and Trojan Event Services. Please speak with your Bovard Production Manager. May I smoke inside or outside of Bovard Auditorium? No. Smoking is strictly prohibited in Bovard Auditorium. USC is a Smoke-Free Campus. The university is committed to promoting a healthy, safe and comfortable environment for all students, faculty, staff and visitors. Smoking is prohibited in all indoor and outdoor facilities. Does Bovard have air-conditioning or heating? Yes. Bovard Auditorium has air-conditioning and heating. How many dressing rooms does Bovard have? Two dressing rooms, one stage right and one stage left, as well as one star room located stage left Stage Right: Capacity: 8 persons Amenities: Hot and cold water, Water fountain, Audio and visual monitoring of the stage Stage Left: Capacity: 8 person Amenities: Hot and cold water, Audio and visual monitoring of the stage Star Room: Capacity: 1 Person Amenities: Audio and visual monitoring of the stage Please see the stage diagrams for exact locations. What are the stage dimensions inside Bovard? The dimensions of the stage depend on configuration. Will Bovard provide tables and chairs for my event? Bovard Auditorium has 4 tables and 8 chairs for your event. You may rent EXTRA tables and chairs from Facilities Management Services (FMS) on campus 213-740-6833 or you may rent off-campus as long as you arrange for delivery with the Bovard Auditorium Production Office. Does my rental include security? Security is not provided by Bovard Auditorium. It is provided and may be required by the  Department of Public Safety   (Lt. Mark Cervenak). You must contact the USC Department of Public Safety at least two weeks prior to the event. DPS will then determine whether or not security is needed for the event. Personnel will be assigned as determined by USC Public Safety and any security measures will be communicated directly with you. Does my rental include Parking? A venue production manager will be in contact with you regarding the status of your reservation request, cost, and paperwork details.  Reservation requests must be received at least 5 weeks in advance.  Before you submit this form please take a moment to visit the Tommy’s Place website, check venue availability and rental rates/staffing rates .   The rental rate and staff pricing may change for the needs of seasonal events. You may also need to fill out the Tommy’s Place Technical Rider if you have a band or multiple bands performing. Note: The rates are subject to change based on the event details and/or upon submission of a Technical Rider. Trojan Event Services requires a  minimum  staffing for all band events. Trojan Event Services requires a minimum of one (1) hour per band for band set-up and includes their sound check. NOTE : Tommy ‘s Place  does not  provide water bottles. If you would like them for your talent, please provide it on your own. We encourage using reusable water bottles and filling them at one of our many water fountains or hydration stations on campus. Home Venues Bovard Auditorium and Bovard South Hall Bovard Reservation Policies Bovard Reservation Policies Board Reservation Policies PDF The goal of Bovard Auditorium is to aid all our clients in planning and producing successful events. The following policies and regulations are provided to reach that goal. Please read these policies before filling out the Reservation Request Form. Bovard General Reservation Guidelines Reservations are accepted through the online reservation form and at the Bovard Auditorium Production Office (ADM-200B). Reservations are made on a first-come, first-served basis for Bovard Auditorium. When can I start booking for my event? Please view the  FAQ Page  on this website to view our booking window. The client will be notified by email regarding confirmation or denial of the reservation request. If the event is scheduled, the Bovard Production Office will email and/or call the client to discuss the details and payment for the event. Reservations must be made at least 25 business days in advance.  NO ADVERTISING CAN BE DONE BEFORE WRITTEN CONFIRMATION FROM THE PRODUCTION OFFICE IS RECEIVED . In addition, advertising may not indicate that the University of Southern California is sponsoring the event without the express written consent of Bovard Auditorium. Bovard Facility Fee Schedule In order to secure your reservation a $300 (for On Campus Groups and Departments) and a $500 (for Off Campus Groups)  non-refundable  deposit in the form of a cashier’s check, money order, Internal Requisition, or credit card (Visa, MasterCard, or Discover) is required within five (5) business days of the acceptance of your reservation request. No cash accepted for venue deposits. A cleaning and damage deposit in the form of a cashier’s check, money order, Internal Requisition, or credit card (Visa, MasterCard, or Discover) for $1,000.00 is due fifteen (15) business days prior to your event. No cash accepted for cleaning and damage deposits. Rental and staffing fees will be determined by the nature of the event. Staffing rates may incur overtime and double time rates. Mandatory fees include Bovard Production Manager assessed set-up and clean-up time (labor and building rental). All fees must be paid by internal requisition, cashier’s check, money order, or credit card (Visa, MasterCard, American Express or Discover) fifteen (15) business days before the event. No cash accepted over $50.00. An Event Status Report (ESR) signed by a representative of Bovard Auditorium and the client must be on file in the Bovard Auditorium Production Office no later than fifteen (15) business days prior to the event. FUNDRAISERS and NON-PROFIT ORGANIZATIONS:  Bovard Auditorium is a revenue-centered facility.  Your rates cannot be reduced. Bovard Cleaning and Damage Deposit A cleaning & damage deposit is required for all events. The client assumes responsibility for the behavior of the audience and participants during their program as well as the responsibility, through their own efforts or through a financial obligation to Bovard, to return the facility to its pre-event state and condition after the event. Damage deposits above the established base are based on the nature of an event as well as on Bovard’s experiences with the client’s previous events. The client will be asked to complete a “Facility Checklist” with a Bovard employee prior to and following the event. Return of all or a portion of the cleaning & damage deposit will be based on the information provided on this form. DEPARTING:  All equipment (rental or otherwise) props, signs, clothing, handouts, boxes, etc. from your event must be vacated from the facility at the end of your event unless otherwise arranged in writing with a Bovard Production Manager  before  you arrive on the premises. We accept  no  responsibility for any equipment left on the premises before, during or after your event. Following your event, please contact your Bovard Production manager in regards to receiving your deposit. After 30 days of your event date, the cleaning & damage deposit is forfeited. Please follow-up with the Production Manager within 7-10 business days after your event to assess the returned amount of the cleaning & damage deposit for your event. Bovard Cancellation / ”No Show” Policy If a reservation is cancelled more than 15 business days prior to the event, provided Bovard or USC has not incurred expenses reasonably required to provide the requested facilities or other services, any pre-paid fees  (except the nonrefundable deposit)  will be refunded. If a reservation is cancelled within 15 business days of the event, rental fees will be assessed. If a reservation is canceled within 10 business days of the event, rental and 50% of staffing fees will not be refunded. If a reservation is canceled within 5 business days of the event, all fees will be withheld. If the reservation is not canceled but the event is not held, all fees and deposits will be withheld. Reservation changes or cancellations must be made in writing by the same individual who initiated the original request. Please see payment timetable regarding specific deadlines. THE UNIVERSITY OF SOUTHERN CALIFORNIA RESERVES THE RIGHT TO CANCEL ANY EVENT IF PAYMENT OR PAPERWORK DEADLINES ARE NOT MET, IF THE GROUP DOES NOT COMPLY WITH USC POLICIES AND PROCEDURES, OR IF USC OFFICIALS CANNOT ENSURE THE SAFETY OF STUDENTS, FACULTY, STAFF, AND/OR VISITORS. THIS MAY OR MAY NOT INCLUDE SHUTTING DOWN AN EVENT ALREADY IN PROGRESS. Additional Services And Approvals Many events require the services or approval of other departments such as the Facilities Management Services (FMS), Bookstore, Hospitality Services, Parking, Department of Public Safety and Ticket Office. If an event falls into this category, the client must return the Service Approval Form indicating compliance with the appropriate department’s policies and procedures at the time payment is made. Additional fees may be assessed, or requirements applied, by these other departments based on the event’s particular needs. At any time prior to the event, even after the client has received a reservation confirmation from Bovard, if University departments deem additional services are necessary for the event the client must comply with those requirements or the event will be cancelled. Home Venues Bovard Auditorium and Bovard South Hall Bovard Stage and House Guidelines Bovard Stage and House Guidelines Our staff will make every effort to accommodate your needs so that your production runs smoothly. During your events, we kindly ask you to observe the following rules: Food and drinks, excluding bottled water, are NOT permitted in the auditorium. Smoking is never allowed in the theatre. Food is ONLY permitted in the dressing rooms. The stage availability is scheduled through the Purchaser or designated representative. When the crew is on meal break the stage is NOT available. Please do not enter the stage when it is dark. As soon as the crew returns the stage will be made available. If there are any questions regarding the stage availability please consult your stage manager, director, group representative or the Bovard Production Office. Parking is not permitted in the loading dock area or in front of the loading dock doors. It is designated for immediate loading and unloading only. If you are unloading items from your vehicle please do so and then move the vehicle to one of the nearby parking lots. For security purposes, enter and exit through the STAGE DOOR ONLY. If you expect to meet friends or relatives after a performance, direct them to the stage door only. Exceptions may be made on a case by case basis. Please consult the production staff. DO NOT climb onto or jump off of the stage apron. Use the ramps leading on and off the stage. Please avoid touching or holding onto the stage and acoustic drapes. Please do not place objects on pianos, covered or uncovered. Please do not remove chairs from dressing rooms. We will supply any extra chairs you may need, within reason. Please do not use ANY adhesive labels on dressing room doors and mirrors. Any damages incurred by the violation of this guideline will be taken from your cleaning and damage deposit. Alcoholic beverages are not permitted in the auditorium. Alcoholic beverages are permitted under limited conditions in the walkway and portico, and permissions must be obtained in writing from the Bovard Production Office fifteen (15) business days prior to your event. Please contact Trojan Hospitality at 213-740-6285 to obtain an alcohol permit. Once completed, please submit permit to the Bovard Production Office. Student Organizations must also receive approval from the Office of Campus Activities. Check all your valuables with your group representative. The Bovard Production Office will not be responsible for property left in the dressing room. Animals (other than seeing eye dogs) will not be allowed in the facility for any reason other than permitted use in the show and only during rehearsal and/or performance. This privilege must be secured through the Production Manager prior to load in and cannot be altered under any circumstances. Decoration or signs shall not be placed in any rooms, hallways, lobbies, or theatres in the building without the permission of the management. No duct tape or masking tape can be used at ANY time in the auditorium. Any damages incurred by the violation of this guideline will be taken from your cleaning and damage deposit. Balloons are not permitted inside Bovard Auditorium. The house opens 30 minutes prior to scheduled show time. All set-up and sound checks must be completed by this time. The Bovard Stage and House Managers will assist the visiting company in opening the house on time. Under no circumstances will the performances begin or the intermission end without the express direct verbal approval of from Bovard’s Stage and House Managers. The Bovard Stage Manager reserves the right to control final sound level for any show at Bovard. Any use of pyrotechnics, open flame, and/or smoke or fog will require the services of a Fire Marshal on site. It must be scheduled through the Bovard Production Manager. Only Bovard staff are allowed to operate our equipment, such as our audio or lighting console etc. unless authorized in advance by the Bovard Production Office. Used as one large space or as four smaller rooms, the Ballroom can accommodate banquet dinners, social dances, lectures, conferences, fairs and many other event types. In its inaugural year, the Ballroom featured everything from a Shiny Toy Guns rock concert to a visit from President Barack Obama. This RSO Reservation Request Form is for USC recognized student organizations only. USC Hospitality offers two convenient catering options for campus events. Private Events & Conferences  provides  full-service catering  for conferences, receptions, and special occasions. Each USC recognized student organization is allowed to waive the first 10 hours of the venue rental fee of the Ballroom once per academic year. This discount applies ONLY to the cost of the venue rental only and not staffing. There are staffing charges that apply for  all  hours of the reservation. Staffing rates will apply for all hours from the start time through the end time of the entire reservation. The discount does NOT apply to any other charges for your event such as staffing, additional A/V equipment, trash cans, or cleaning & damage deposits.  This discount cannot be divided among multiple reservations or organizations. ** Please note that the rental and staffing rates may change for the needs of seasonal events. Home Venues Ronald Tutor Campus Center (TCC) Meeting Rooms Trousdale Information Tables Trousdale Information Tables Definition of Tabling: A table located in an approved campus outdoor area to distribute information, promote events, recruit, and/or fundraise. Only recognized student organizations, faculty or staff may table on USC Campuses   Tabling Guidelines Tabling may only happen in specific outdoor on campus locations between the hours of 10:00AM – 2:00PM Monday through Friday. At UPC, Tabling is only allowed on Trousdale Parkway along the western edge of Alumni Park. Tables cannot be set up on the grassy median or Bovard (west) side of Trousdale. Tabling is NOT allowed at the Jefferson and Trousdale Plaza or in the USC Village Tabling is not permitted during official university functions or holidays including but not limited to Welcome Week, Orientation, and home football game days, or when there is a reservation that is using all of Trousdale. For example, a career fair. Only Recognized Student Organizations are permitted to table on campus for the purpose of promoting their RSO or hosting an event. The table must be used for display purposes only. If it’s a student organization sponsored fundraiser, the organization must submit a university event permit application for fundraising approval. Please note that a reservation number (provided by Trojan Event Services) is needed to get the event permit. Tabling set up may only include a table and 2 chairs only. No canopy or tent. No activations. No amplification. Tabling FAQ Where do I pick up my table?  All you need to do is check in with the Campus Center Consultants located at the front desk of the Steven and Kathryn Sample Hall (SKS). You will need to leave a USC Student ID with the staff to check out your table and take it to Trousdale Parkway. Do I have to return my table?  Please return the table and chair(s) to the front desk when your rental is complete. Failing to properly return tables could result in a suspension of tabling privileges or a fine equal to the cost of a new table. How many days can my student organization table?  You can table for two (2) consecutive days per week. You can not exceed six (6) days per month. Search for: Close An icon of a letter X. Outdoor Venues USC is home to many iconic outdoor venue spaces including but not limited to Alumni Park, McCarthy Quad, and more! The reservation request form  allows you to place a reservation request for outdoor venues over which Trojan Event Services (TES) has jurisdiction. An Outdoor Production Manager will be in contact with you regarding the status of your reservation request, cost, and paperwork details. TES allows one event to happen at a time in a venue. Events with amplification require approval that is administered through the TES office. Only one event with amplification can happen at a time on campus.  Reservation requests must be submitted AT LEAST 6 weeks in advance. This applies to all outdoor locations requested through Trojan Event Services. Looking for an outdoor venue? Please check out the  USC Map . RESERVE NOW RESERVATION REQUESTS MUST BE SUBMITTED AT LEAST 6 WEEKS IN ADVANCE. USC Village (International Piazza) Important Information Outdoor events can start as early as 8 a.m. and must conclude by 11:30 p.m. Reservations  are first-come, first-served. Please be as specific as possible when entering your request details. If you have any questions while filling out this form please contact us via email at  [email protected]  or call us at (213) 764-4943. Non-university clients  are not permitted to reserve outdoor venues during the academic year. During the summer, venue spaces are limited. Please speak with a Production Manager for permitted locations. All requests for  amplification  in outdoor spaces must be submitted to and approved by Trojan Event Services. The request for amplification must be on the Outdoor Reservation Request form. Only one (1) amplified event is allowed to happen at a time in outdoor venues. Large,  amplified events  are not allowed at the USC Village (Great Lawn, McClintock Lawn and International Piazza) without special approval.  No amplified sound is allowed after 8pm. The request for  electricity  must be submitted through a Facilities & Planning Management (FPM) Checklist. TES does not provide electricity for outdoor events. Student organizations  cannot reserve outdoor spaces during Welcome Experience (Fall & Spring semester), Festival of Books, home football game days, commencement and other large university-wide event. If a student organization hosts an event during the summer, the primary contact must be a current USC student and member of the organization on the day of the event. **TOMMY TROJAN:  Please note that nothing (ie, tables, chairs, tents, etc.) can be placed in front of Tommy Trojan. The use of that space requires your set-up to be to the left or right of Tommy Trojan. NOTHING can be placed in view of the statue. Your approved diagram must comply with this policy. If your set-up violates this policy on the day of your event, you will be asked to adjust your set-up. **TOMMY TROJAN:  1- 10’x10′ size tent or pop-up is allowed for reservations at Tommy Trojan/Hahn Plaza. If your set-up exceeds 1-10’x10′ tent/pop-up, the Outdoor Production office can assist you with finding another location such as Trousdale or Alumni Park. The Bovard North and South Lawns can not be reserved independently from Bovard Auditorium. The Lawns are reserved for use when an event is being held inside Bovard Auditorium only. Food trucks  are allowed on Trousdale (near Dr. Medicine Crow Building), McCarthy Quad and Pardee Plaza only. No exceptions. The outdoor spaces can not be used for consecutive, multi-day events. Based on the event details, Trojan Event Services and the Recreational Sports department may determine which venue is suitable to host the event. From meeting rooms accommodating six people to a Grand Ballroom with seating for 800 people. The Ronald Tutor Campus Center (TCC) has something to satisfy all your event needs. Reservation requests must be submitted AT LEAST 3 weeks in advance. Fall & Spring Semester Hours: Monday – Friday: 7am-11:30pm Saturday – Sunday: 9am-11:30pm Closed Home Football Games and Holidays Summer Semester Hours: Monday- Friday: 7am-5:30pm Saturday – Sunday: Closed Offices are open Monday-Friday from 9AM-5PM. For day of assistance with your meeting or event currently in progress, please contact (213) 821-7822. Submitting a Request This  form  will allow you to request meeting room space at the Tutor Campus Center.  Requests must be submitted at least 3 weeks prior to your meeting. Please note that all staffing requests must be submitted at least 4 weeks in advance. All outside organizations are required to provide a certificate of insurance (COI) naming USC Trojan Event Services as additional insured.
